Create and send an invoice

Write an invoice, send it, and what happens to it after that: numbers, credit notes, reminders and payments.

Checked against the app on 23 October 2026

Write the invoice

  1. Go to Invoices and press New invoice.
  2. Pick the Customer. New customer? You can add one from the same field.
  3. Check the Issue date, Payment terms and Currency. Add a Reference / PO if your customer asked for one.
  4. Add your work with Add line: a description, quantity, price and VAT rate.
  5. For a customer abroad who buys goods rather than services, tick These are goods, not services. Netto uses this for the right VAT treatment.

Then choose Save as draft to finish it later, or Save and send.

Draft, issued, sent

  • A draft has no number yet. You can change it or delete it.
  • When you send it, the invoice is issued: it gets the next number in your series and is booked in your accounts. From then on it can't be changed or deleted. That's the law: an issued invoice can only be corrected with a credit note.
  • The badge shows Issued until the email has gone out, then Sent. If the email couldn't be sent, the invoice is still issued, and the page says Not emailed yet so you can try again.

If your business details are missing something the law requires on an invoice, Netto shows Complete these to send with the fields to fill in right there.

Sending

The send window shows To, Subject and a Personal message. Tick Send a copy to me if you want one. Press Send now. Your customer gets the invoice as a PDF, with a link to a pay page. If you've connected Mollie, they can pay online there with iDEAL or a card.

Replies go to the email address under Settings → Business details → Invoice email. If that's empty, your login email is used.

Change how it looks

Choose between four templates (Classic, Modern, Netto and Letter) under Settings → Invoices → Customise template. Your logo comes from Settings → Business details.

Correct an issued invoice

Open the invoice and choose Cancel with credit note. The credit note gets its own number and cancels the original: your revenue and VAT are corrected, and the original shows as cancelled. Nothing is emailed until you send the credit note from its own page. You can then make a new, correct invoice. See Fix, cancel or write off an invoice for more.

Remind a customer

From 7 days before the due date, an emailed invoice offers Send reminder. If the customer still doesn't pay, the next steps are Send formal notice (aanmaning) and Send final notice. Each one asks you to confirm before it goes. You can also turn on automatic reminders per customer.

Record a payment

When your bank is connected or you upload a statement, payments are matched to your invoices on the Bank page. To record one by hand, open the invoice and press Record payment, then choose how it was paid:

  • Bank transfer: link the bank line.
  • Cash payment: booked through your cash book.
  • Paid, not in my bank lines yet: a temporary payment that is replaced when the bank line comes in. This option is off by default (Settings → Invoices → Mark paid without proof).

In the app, you can also ask the assistant (Ask Netto, top right) to draft an invoice for you. It always asks before sending anything.
